Privacy policy — how we look after your information

Last updated: 27 October 2026.

NameFix is a private deed poll document preparation service based in the UK. We are not part of the UK government, and we are not solicitors. For the personal information described on this page, NameFix is the “data controller” — the business responsible for it.

Questions about your information: email [email protected] or message us on WhatsApp on 07780 964180.

What we collect, and why

Your order details — your current name, your new name, title, date of birth and nationality. We need these to prepare your deed poll correctly. Legal basis: contract (you asked us to prepare your documents).

Your contact details — postal address, email address and phone/WhatsApp number. We need these to send your documents to you, post printed copies, and answer your questions. Legal basis: contract.

Your order choices — PDF or printed, extra copies, the Name Change Kit, and any discount code used. Legal basis: contract.

Payment — payments are handled by Stripe. We receive confirmation that you paid and the details Stripe shows us about the payment. We never see or store your full card number.

Messages you send us — emails and WhatsApp messages, kept so we can reply and help you. Legal basis: contract / legitimate interests.

Website visits — our hosting provider keeps standard technical logs (IP address, time, page visited) to deliver the site and keep it secure. Legal basis: legitimate interests.

Who processes your information for us

We use a small number of trusted services, and each one only gets what it needs:

Resend — sends our order, confirmation and delivery emails. Google (Gmail) — our order emails are stored in our mailbox. Stripe — takes your payment. Cloudflare — hosts this website, forwards our support email, and keeps the technical visit logs. Royal Mail — delivers posted orders, so your name and address appear on the envelope.

Some of these services are based outside the UK (for example in the USA) and protect international transfers under UK-approved safeguards. We never sell your information, and we never share it for anyone else’s marketing.

How long we keep it

Order records are kept for 6 years from your order date. We keep them that long because tax law requires business records to be kept, and because it lets us supply replacement copies of your documents if you lose them. After 6 years, order records are deleted.

Enquiries that do not become orders are deleted within 12 months. Stripe keeps payment records under its own policy.

Cookies

This website does not use advertising or analytics cookies. Our hosting provider may use strictly necessary security cookies to keep the site safe.

Your rights

Under UK data protection law you can ask us to: show you the information we hold about you; correct anything that is wrong; delete it; restrict how we use it; or object to how we use it. Email [email protected] and we will reply within one month.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk. We would like the chance to put things right first, so please contact us before you do.

How we protect it

Your order information sits in accounts protected by strong passwords and 2-step verification, access is limited to the people preparing your documents, and this website uses secure HTTPS connections.

Who can order

Our service is for adults changing their own name. We do not sell children’s deed polls and we do not collect children’s details for orders.

Changes to this policy

If we change this policy, the new version will be posted on this page and the date at the top will change.
